Terms of Service
CrewVisa is a Schengen day-tracker and travel-document wallet for crew. These terms describe the rules between you and HelmWise (the company that operates the service). They are written in plain English. The headings are part of the agreement.
1. Who we are
CrewVisa is operated by HelmWise Pty Ltd, a private company registered in South Africa.

In these terms we refer to HelmWise Pty Ltd as “we”, “us”, or “HelmWise”. The service runs at crewvisa.app and inside the CrewVisa mobile app (the “app”).
2. Accepting these terms
By creating an account or using the app, you accept these terms and our Privacy Policy, which forms part of these terms. If you do not accept them, do not use the service. If you are using CrewVisa on behalf of an organisation (for example, a vessel), you confirm that you have authority to accept these terms on its behalf.
3. Eligibility
You must be at least 16 years old to use CrewVisa. The service is built for working crew and the people who hire them. We do not knowingly accept accounts from minors.
4. Your account
- You sign up with an email and a password. You may also sign in with Apple or Google where supported.
- You are responsible for keeping your password secret and for everything that happens under your account.
- You agree that the email and personal details you provide are accurate. If they change, you can update them in Settings → Account.
- If you suspect your account has been compromised, contact us at hello@crewvisa.app immediately.
5. What you can do with the service
Use CrewVisa to:
- track your own Schengen entries and exits;
- store your own travel documents;
- share data, where you choose to, with vessels or captains who use the service.
Do not use CrewVisa to track other people without their consent, to store documents that are not yours, or to circumvent immigration law in any country.
6. Free and Pro features
The free tier of CrewVisa includes the Schengen day count, manual trip logging, and a per-trip proof photo.
CrewVisa Pro adds the documents wallet (your contract, travel letter, and visa letter), unlimited stamp photos, biometric / PIN unlock for sensitive documents, and priority support. Pro is a paid subscription. Prices, the length of each billing period, and what is included are shown clearly on the purchase screen at the time you subscribe, and are charged through the platform you bought it on (the App Store on iOS, Google Play on Android, or our website where applicable). Local taxes may apply.
7. Subscriptions, renewals, refunds, and restore
- Auto-renewal. Pro subscriptions renew automatically at the end of each billing period unless you cancel at least 24 hours before the renewal date. The renewal price is the price shown at the time of renewal. We will tell you in advance if the renewal price changes.
- Cancellation. You can cancel at any time in your platform’s subscription settings (Apple ID → Subscriptions, or the Google Play subscriptions page). Your Pro access continues until the end of the period you have already paid for.
- EU 14-day right of withdrawal. If you live in the European Union, the European Economic Area, or the United Kingdom, you normally have a 14-day right to withdraw from a digital purchase. Because Pro gives you immediate access to digital content, by subscribing you expressly request immediate performance and acknowledge that you lose your right of withdrawal once we begin providing the service. Where the law of your country gives you a non-waivable withdrawal right despite this, that right continues to apply.
- Refunds. Refunds are handled by the platform you bought from (Apple, Google, or HelmWise). For App Store and Google Play purchases, you must request a refund through that platform — Apple at reportaproblem.apple.com and Google through the Google Play subscriptions page. For purchases made directly through HelmWise, contact us at hello@crewvisa.app.
- Free trials. Where we offer a free trial, the length of the trial and the price you will be charged when it ends are shown on the purchase screen. You can cancel before the trial ends to avoid being charged. If you do not cancel, the subscription begins automatically at the price shown.
- Restore Purchases. If you re-install the app, switch devices, or sign in with a different account, you can restore an existing Pro subscription from Settings → Account → Restore Purchases. Restoring is always free.
- Lifetime / early-bird offers. Where we offer a one-time lifetime purchase, “lifetime” means the lifetime of the CrewVisa product as we operate it. If we discontinue the product, we will give reasonable notice and your data will remain exportable.
8. Privacy
How we handle your personal data is described in our Privacy Policy, which forms part of these terms. The list of service providers we rely on is at crewvisa.app/sub-processors.
9. Your content stays yours
You own everything you put into CrewVisa: your travel history, your photos, your documents. By using the service, you grant us the limited licence we need to store your content and serve it back to you on the devices where you sign in. We do not use your content for any other purpose, ever. We never use your content to train artificial-intelligence models.
10. Acceptable use
You agree not to:
- upload content that is illegal, infringes someone else’s rights, or contains malicious code;
- impersonate another person, or share your account with another person in a way that misrepresents who is using it;
- attempt to break, reverse-engineer, or interfere with the security of the service;
- scrape, copy, or systematically extract data from the service except for your own data using the export feature;
- harass, threaten, or harm another user through any data you choose to share with a vessel or captain inside the service.
11. Reporting and moderation of shared content
Where you choose to share data inside CrewVisa with another user (for example, a vessel or captain), the receiving user becomes responsible for handling that data appropriately. If you believe another user is misusing the service, sharing content with you that is illegal, abusive, or infringes someone’s rights, or impersonating another person, please report it to us at hello@crewvisa.app with the subject line “Report”.
We aim to investigate reports and act within 24 hours. We may, where appropriate, remove content, suspend a user from sharing features, or close an account. You can also block another user from sharing with you from inside the relevant share screen. We have zero tolerance for objectionable content, harassment, or abusive behaviour on the service.
12. Service availability
We try to keep CrewVisa working all the time, but we do not guarantee uninterrupted service. If something breaks, we will fix it as fast as we reasonably can. Do not use CrewVisa as your only record of legally important documents — keep a backup elsewhere too.
13. Things we are not responsible for
CrewVisa is a tool that helps you keep track of your Schengen days and your travel documents. It is not legal or immigration advice. The day-count is calculated from the entries you log; if your log is incorrect, the count will be incorrect. Whether you are compliant with the Schengen 90/180 rule, or with any other immigration rule, is ultimately your responsibility. We are not liable for any over-stay, fine, denied entry, denied boarding, or visa refusal that results from relying on CrewVisa alone.
To the maximum extent permitted by law, our total liability to you for any claim arising out of or relating to the service is limited to the amount you paid us in the twelve months before the claim arose, or fifty euros, whichever is greater. We are not liable for indirect, incidental, special, consequential, or punitive damages.
Nothing in these terms limits liability that cannot be limited under the law that applies to you. In particular, if you are a consumer in the European Union, the European Economic Area, or the United Kingdom, the limits in this section do not affect your statutory rights, do not apply to liability for death or personal injury caused by negligence, do not apply to fraud or fraudulent misrepresentation, and do not apply to any other liability that cannot be limited or excluded under the law of your country of residence.
14. Account suspension and termination
You can delete your account at any time from Settings → Account → Delete account. Deletion wipes everything connected to the account within thirty days, except where we are legally required to keep something for longer (such as financial records).
We may suspend or close an account that is being used to abuse the service, to harm other users, or in violation of these terms. We will tell you why and give you a reasonable opportunity to respond, unless we are legally prevented from doing so.
15. Export control
You confirm that you are not located in a country subject to a sanctions regime imposed by the United Nations, the European Union, the United Kingdom, or the United States, and that you are not on any list of prohibited or restricted parties maintained by those authorities. You agree not to use CrewVisa in breach of any applicable export-control or sanctions law.
16. Changes to the service
We will improve, change, and occasionally remove features. If we remove something significant, we will tell you in the app or by email and give you a reasonable opportunity to export your data first.
17. Changes to these terms
We will update these terms when the service changes meaningfully or when the law requires. The “Last updated” line at the top tells you when. Continued use of the service after a change means you accept the updated terms; if you do not, you can delete your account.
18. Governing law and where disputes are heard
These terms are governed by the law of the Republic of South Africa. Disputes go to the courts of South Africa, with jurisdiction in the Western Cape Division of the High Court (Cape Town), except that:
- if you are a consumer based in South Africa, nothing in these terms limits any non-waivable right you have under the Consumer Protection Act 68 of 2008 or the Electronic Communications and Transactions Act 25 of 2002;
- if you are a consumer based in the European Union, the European Economic Area, or the United Kingdom, you keep the right to bring proceedings in the courts of the country where you live;
- nothing in this clause limits any consumer-protection right that the law of your country gives you and that cannot be waived by contract.
19. Apple-specific terms (iOS users only)
The following applies if you downloaded CrewVisa from the Apple App Store:
- These terms are between you and HelmWise. Apple is not a party to them.
- HelmWise, not Apple, is responsible for the app and its content.
- Apple has no obligation to provide maintenance or support for the app.
- If the app fails to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price (if any). To the maximum extent permitted by law, Apple has no other warranty obligation.
- Claims relating to the app (including product-liability claims, claims that the app fails to conform to legal requirements, and claims under consumer-protection law) are the responsibility of HelmWise.
- If a third party claims that the app or your use of it infringes their intellectual property, HelmWise (not Apple) is responsible for the investigation, defence, settlement, and discharge of any such claim.
- You confirm that you are not located in a country subject to a US-government embargo or designated by the US government as a “terrorist-supporting” country, and that you are not on any US-government list of prohibited or restricted parties.
- Apple and Apple’s subsidiaries are third-party beneficiaries of these terms and may enforce them against you.
20. Google Play–specific terms (Android users only)
The following applies if you downloaded CrewVisa from Google Play:
- These terms are between you and HelmWise. Google is not a party to them.
- HelmWise, not Google, is responsible for the app, its content, and any support.
- Subscription length, price, what is included, and renewal terms are shown on the purchase screen before you confirm a purchase.
- Refund requests for Google Play purchases are handled through Google’s standard refund process. You can request a refund through the Google Play subscriptions page; Google’s refund window and rules apply, alongside any non-waivable consumer-protection right under the law of your country.
